This policy explains how PROwe Fabrications Pty Ltd, trading as Kart Mania Gepps Cross (ABN 61 663 450 806), collects, uses and protects your personal information. We handle personal information in line with the Australian Privacy Principles.

What we collect

• When you book or visit: your name, phone number, email address, and the registration and indemnity details we need before you race, including your age and a parent or guardian's details for drivers under 18.
• When you chat with REV, our website assistant: the messages you type and REV's replies.
• When you ask REV for a call-back: your name and phone number, plus anything you choose to share about your booking, such as group size, ages and preferred date. Email is optional.
• When you send an event enquiry: your name, company, phone number and email, the details of the event you're planning, and, if you ask for an invoice, your accounts email and ABN. We use these to call you back, quote and invoice your event.
• When you order a gift voucher: your name, email address and phone number, the recipient's name (and their email, if you ask us to send the voucher to them), and any message you add. We use these to match your bank transfer, send the voucher, and help if there's a problem with it.
• When you pay: payment is handled by our payment terminal providers. We don't store your full card number.

Please don't share health or other sensitive details in the chat. If you need to tell us about a medical condition, call us.

How we use it

• To answer your questions, take and manage bookings, and call you back when you ask us to.
• To run sessions safely, including checking age, height and other requirements.
• To improve our website and service. Each week we review a summary of the questions people asked REV, so we can answer common questions better.
• To send you news and offers, only if you have agreed to receive them. You can unsubscribe at any time.

We don't sell or rent your personal information.

REV, our website assistant

REV is an AI assistant. It runs on Claude, an AI model made by Anthropic, and is hosted by Netlify. When you chat with REV, your messages are sent to Anthropic to generate replies. Anthropic and Netlify are based in the United States, so your messages may be processed overseas.

We keep a record of chats for up to 30 days, with phone numbers and email addresses removed, so we can review what visitors ask. REV can make mistakes. Please confirm prices, times and rules with our team before you visit.

REV will only pass your details to our team if you agree. Those call-back requests are stored securely in our website system and emailed to our team, and we delete them once we no longer need them.

Photos and video

Visitors may be photographed or filmed at the venue. We may use these images on our website and social media and in marketing. If you'd prefer not to appear, let our staff know on the day.

Who we share it with

We share personal information only with service providers who help us run the business, such as our website host and AI provider, or when the law requires it. We may also disclose information to protect the safety of our visitors and staff, or to help with an investigation of suspected unlawful activity.

Advertising and cookies

Our website uses the Meta Pixel and Meta Conversions API (Meta runs Facebook and Instagram) and the Google Ads tag. They use cookies and similar technology to record visits and actions on our site, such as viewing a page, tapping our phone number, sending an event enquiry or ordering a gift voucher, so we can measure and improve our ads and show them to people likely to be interested. When you send an enquiry or order a voucher, we may send Meta and Google your email address, phone number and name in a scrambled (hashed) form so they can match the action to an ad. Meta and Google are based in the United States, so this information may be processed overseas.

Our marketing agency, Mad Murph Marketing, also receives visit statistics (such as the page visited, the type of device, the website you came from, your approximate town or region and your IP address) to report on our marketing and to filter out automated (bot) traffic. It also receives the general topics people ask our website assistant about (for example "birthday parties" or "prices"), but never what you typed. It doesn't receive your name or contact details.

You can manage how Meta and Google use this information in your Facebook, Instagram and Google ad settings, and you can block or delete cookies in your browser.

Keeping it secure

We take reasonable steps to protect personal information from misuse, loss and unauthorised access, and we delete it when we no longer need it.

Accessing or correcting your information

Complaints

If you have a concern about how we've handled your personal information, contact us first and we'll respond within 30 days. If you're not satisfied, you can contact the Office of the Australian Information Commissioner at oaic.gov.au.
